Business operating system

Run the business. Not the software.

Clients, matters, documents, invoicing, the ledger, BAS, payroll and STP - one system where every record, every dollar and every obligation is connected and accounted for.

  • One ledger under everything
  • STP Phase 2 and SuperStream built in
  • Two-step sign-in for every account

Why a system of record

Every operation. One system of record.

Most practices run on four tools and a spreadsheet that reconciles them. MiBizOS is one structure that holds the client, the matter, the money and the obligations together.

Of record

A double-entry ledger, BAS, aged receivables and an audit trail that cannot be edited - by anyone, including us.

Connected

An invoice raised in a matter is a receivable, a ledger entry, a client statement and a BAS line, at once. Nothing is typed twice.

Load-bearing

Row-level security, roles and plans enforced in the database, two-step sign-in, records retained, exports on request.

The dashboard

This is what a principal opens each morning.

A practice's Today screen, with sample data. Switch between the views a practice uses most - the layout, type and colour are the product's own.

Figures, not summaries

Receivables, client money and payroll on the Today screen are ledger balances. The number on the dashboard is the number in the books.

The practice's own space

Your name and logo head every page; your staff see the modules your plan and their role include. MiBizOS appears once, at the foot.

Switch views

Today, Matters, Invoices and Payroll are the four screens a principal opens most. Every one of them is one click from the others.

Modules

Twelve modules. One structure.

Each module is a view of the same records, so a change in one is already true in the others.

Clients

One record per person or business, with every matter, document, message and invoice against it.

Basic

Matters

Visa subclass, stage, owner, due dates and the checklist the subclass needs, from enquiry to grant.

Basic

Documents and forms

Requests, uploads, engagement agreements and consents. Forms prepopulate from the client record and lock when signed.

Client messaging inside the matter, with WhatsApp delivery and a record that stays with the file.

Basic

Bookings and tasks

Consultation bookings with a paid fee, reminders, and tasks assigned across the practice.

Basic

People and permissions

Roles for principals, practitioners, admins, partners and accountants, and per-person overrides with an end date.

Pro

Invoices and receipts

Fee invoices, receipts and credit notes, delivered through the client portal, never lost in email.

Pro

Client money

A client account kept apart from office money, with card payments only where the rules allow them.

Pro

Ledger and BAS

Double-entry general ledger, bank feeds, GST and the quarterly BAS, with periods that lock.

Pro

Reports

Aged receivables, fees by practitioner, client statements and financial statements, exported on demand.

Ultimate

Payroll and STP

Pay runs, leave, PAYG withholding and STP Phase 2 lodgement to the ATO from the same run as the payslips.

Ultimate

SuperStream

Superannuation contributions sent within the payday window, with state payroll tax where it applies.

How it runs

From enquiry to outcome, in one record.

Every step writes to the same matter, so the file, the money and the obligations never drift apart.

  1. 01

    Enquiry

Arrives from your website or a referral and is a client record from the first minute.

  2. 02

    Consultation

Booked and paid online; the fee lands in the ledger before the meeting starts.

  3. 03

    Engagement

The agreement is signed in the portal; the advance fee goes to the client account.

  4. 04

    Documents

Requests go out, uploads come in, forms prepopulate from what the client already told you.

  5. 05

    Lodgement

The matter records who lodged, when, and under which registration.

  6. 06

    Outcome

Grant or refusal recorded, fees transferred to office as earned, file closed and retained.

Security and records

Built for practices that answer to a regulator.

Client money, statutory reporting and professional obligations are not features bolted on later. They are the reason the system is shaped the way it is.

Isolated at the database

Every practice's rows are separated by row-level security in Postgres, not by a filter in the application. A query cannot reach another practice's data.

Two-step sign-in, always

Every staff account enrols an authenticator. Sensitive actions ask for the second step again.

Client money kept apart

Advance fees sit in the client account until earned. Card payments into that account are refused unless your banking model allows them.

An audit trail nobody edits

Activity and governance logs are append-only by database trigger. Not staff, not support, not us.

Support that can only look

When our operators open your practice to help, the session is time-limited, recorded, and read-only by policy.

Your records, kept then returned

If you leave, your data is retained for 12 months, exported to you on request, and then deleted - with a warning before each step.

Plans

Three plans. Your data is yours on all of them.

New practices start on Pro with a 14-day trial. Pricing is confirmed when you start your practice; a downgrade never deletes anything, and every plan includes storage.

Questions

Plain answers.

Anything else: hello@mibizos.com.au

Is MiBizOS a migration agency?

No. MiBizOS is software for migration and education practices. It gives no immigration advice and lodges nothing on a client's behalf; your registered agents do that, and the system records it.

Who owns the data, and what happens if we leave?

Your practice does. A principal can download the practice's complete records at any time. If your subscription ends, the data is retained for 12 months, exported to you on request, and then deleted, with notices before each step.

Can we use our own name and branding?

Yes. Your practice gets its own address on the platform, your logo appears on every invoice, receipt, statement, agreement and payslip, and the client portal carries your name. MiBizOS appears once, as a credit at the foot.

How is client money handled?

Advance fees are recorded in a client account kept apart from office money, and transferred to office as they are earned. Card payments into the client account are refused unless your banking model is set up for them.

Does it lodge STP and pay super?

On Ultimate. A pay run produces the payslips, the STP Phase 2 pay event and the SuperStream contribution file together, so nothing is entered twice.

Can staff have different access?

Yes. Principals, practitioners, practice admins, regional partners and accountants each see what their role includes, and a principal can grant or remove individual capabilities per person, with an end date.
